The Importance of Documenting Behind the Scenes in Live Events

Updated: Aug 6

Live events create unforgettable experiences, but much of the magic happens out of the audience’s sight. Capturing what goes on behind the scenes adds a valuable layer to the story of any event.

During my time working for Kapture at Bareknuckle Boxing 54, held at the AO Arena in Manchester, I saw firsthand how documenting the build-up and backstage moments can elevate the entire event experience. I was responsible for producing stills and video content, including a recap video, behind the scenes stills, and a timelapse of the build. This post shares why this kind of documentation matters and how it supports marketing efforts for live events.

Capturing the Energy Before the Event

The build phase of a live event is a story in itself. At Bareknuckle Boxing 54, the AO Arena transformed from an empty space into a buzzing venue ready for the fight night. I set up a timelapse camera to record the entire build process. This footage showed the gradual assembly of the ring, lighting, and seating, compressing hours of work into a few captivating minutes.

This kind of content is powerful because it reveals the effort and coordination behind the scenes. It gives the audience a new appreciation for the event and the people who make it happen. For marketing teams, timelapse videos are a dynamic way to engage fans before the event even starts. They create anticipation and build excitement by showing progress in real time.

The Value of Behind the Scenes Stills

Alongside video, I captured behind the scenes stills throughout the event day. These images included the crew setting up equipment, fighters warming up, and the production team coordinating final details. The photos offered a raw and authentic glimpse into the event’s preparation.

Behind the scenes stills serve multiple purposes:

  • Humanize the event by showing the people who work tirelessly behind the curtain.

  • Provide exclusive content that can be shared on social channels to increase engagement.

  • Support storytelling by adding context to the event recap and promotional materials.

For example, a close-up shot of the lighting technician adjusting the rig or a candid photo of the fighters preparing adds depth to the event narrative. These images help marketing managers create a connection between the audience and the event’s personality.

Producing a Recap Video That Tells the Full Story

After the event, I edited a recap video that combined fight highlights with behind the scenes footage. This video was more than just a highlight reel; it told the full story of the event day. Including behind the scenes moments gave viewers insight into the preparation, the atmosphere, and the teamwork involved.

A well-crafted recap video serves as a marketing asset long after the event ends. It can:

  • Attract sponsors by showcasing the professionalism and scale of the event.

  • Engage fans who want to relive the experience or see what they missed.

Why Behind the Scenes Content Matters for Marketing

Behind the scenes content is a powerful marketing tool for live events. It adds authenticity and transparency, which audiences appreciate. When people see the hard work and passion behind an event, they feel more connected and invested.

For event planners and marketing managers, this content:

  • Builds trust by showing the event’s professionalism.

  • Creates buzz by sharing exclusive moments that fans cannot get anywhere else.

  • Extends the event lifecycle by providing material for pre-event hype and post-event follow-up.

Documenting behind the scenes also helps differentiate your event in a crowded market. It shows that you care about quality and the audience experience beyond just the main show.

Final Thoughts on Documenting Live Events

Documenting behind the scenes is not just about adding extra footage or photos. It’s about telling the full story of a live event, from the first setup to the final moment. My work at Bareknuckle Boxing 54 showed me how this content can bring the event to life in new ways and provide valuable marketing material.

If you want your live events to stand out, invest in capturing what happens behind the scenes. It builds connection, trust, and excitement that lasts well beyond the event day. Start planning your behind the scenes documentation early and watch how it transforms your event marketing.

If you’re an event planner or marketing manager looking to improve your live event content, consider adding behind the scenes documentation to your strategy. It’s a simple step that delivers strong results.
